Signature Placeholders in Templates

If a certain type of document always needs a signature in the same place (for example, every engagement letter needs the client's signature at the bottom), you can set that up once in the template. Every document generated from that template afterward will already have the signature spot ready, with no extra setup needed each time.

Setting it up​

While editing a template, find the Signature Placeholders section next to the regular list of placeholders. To add one:

  1. Choose what kind of mark goes there: a full signature, initials, or today's date.
  2. Choose which placeholder on the template holds the signer's email address. Since the actual signer changes with every document generated from this template, you point the signature spot at the placeholder that will hold that person's email address, rather than typing a fixed address in directly. That way the right signer is picked up automatically every time, no matter who fills out the form.
  3. Click Insert Placeholder at Cursor to place it exactly where your cursor is in the document.

What happens when a document is generated​

When someone fills out a form and a document is generated from this template, and that document is then sent out for signature, Formaliq automatically finds every signature spot you set up and assigns it to the correct person, based on the email address that was actually entered on the form.

If one of those spots was optional and no email address was entered for it (for example, an optional cosigner), that spot is simply skipped rather than causing an error.

The result is a document that shows up already to go: every signer and every signature spot filled in correctly, so all you need to do is review it and send it.

When to place signatures by hand instead​

If the number of signers or the layout of signatures genuinely changes from one document to the next, it is easier to skip this setup and instead place signature spots by hand on each document right before sending it. See Sending a Document for Signature for how that works.
