Sending a Document for Signature

Follow these steps to get a generated document signed.

Step 1: Start from a generated document​

Open the generated document you want signed, and choose Send for Signature. You will be asked to choose how it should be signed: remotely by email, or in person on a shared device. You can also list the signers at this point.

If the template this document was generated from already had signature spots built in, they will already be filled in with the right signers and ready to go. If that is the case, you can skip ahead to Step 3.

Step 2: Mark where signatures go (if needed)​

If the document does not already have signature spots marked, you will be taken to an editor where you can place them yourself. For each spot you add, choose:

  • The email address of the person who should sign there
  • Their name (optional, but helpful)
  • What kind of mark goes there: a full signature, initials, or today's date

You can add as many of these as you need, and remove any you added by mistake. This step is only available before the document has been sent.

Step 3: Send it​

Once every signature spot has a signer assigned, choose Send Invitations. Formaliq will email each signer a link to sign their part. By default, that link stays valid for 30 days.

From this same screen, you can also:

  • Resend the email to a signer, or send them a reminder.
  • Correct a signer's email address if it was entered wrong.
  • Pull the document back. If you need to make a change after sending, you can recall it. This cancels every link that was sent out, returns the document to draft so you can fix it, and asks you for a reason, which gets saved to the audit trail. Everyone who was sent a link is notified that it is no longer valid.

One helpful detail: if a spot is marked for today's date, the signer does not need to do anything for it. Formaliq fills that in automatically the moment they open the document.
