Generated Documents

A generated document is the finished file: a template combined with the answers from one specific submission. This is the actual document you would send, print, or file, not a preview.

Once a document has been generated, it stays exactly as it was created. If the template or the submission is changed afterward, the document that was already generated does not change along with it. If you need an updated version, you generate a new document.

How a document is generated

When you generate a document, Formaliq does the following automatically:

  1. It starts from the template.
  2. It works through the template's conditional logic, removing any sections, tables, rows, or phrases that should not appear for this particular submission.
  3. It fills in every remaining placeholder with the matching answer from the submission, including formatted fields like names, addresses, and phone numbers, and generating table rows for any lists.

The finished file is saved in the same format as the source template.

Keeping track of where a document came from

Every generated document keeps a record of exactly which template, which form, and which submission it came from. If you ever need to answer the question "where did this document come from, and what information was used to create it," that answer is always available.

Sending a document for signature

A generated document can be sent out for signature once it is ready. See Signatures to learn how to add signature fields, send the document to the people who need to sign it, and get a final, signed copy with a complete record of who signed and when.
